June 24, 2008: Flood update
We are working to make your mail service as normal as possible, as quickly as possible. Thank you for your cooperation and understanding during these extraordinary times!

  • When you send campus mail to individuals who have moved due to flooding, please continue to use their OLD campus mail address. We will reroute items to their new locations.

  • If your unit or department has has been relocated, a representative must contact us to arrange for deliveries. Email or call Mail Services manager Kathy Battin, kathy-battin@uiowa.edu, 384-3809, to do this.


Campus Mail will pick up and deliver mail for relocated departments at an alternative delivery site - if possible, and if the departments make arrangements with Mail Services for this. Until alternative sites are determined, mail will be held at the Mossman Building.

Relocated departments may use the newly established east-side mail center as a mail exchange site. It is located at 2541 University Capitol Centre, down the hall from the former Old Capitol Theatres. The center is open from 9:00 am to 2:30 pm. (Beginning July 14, it will be open from 10:30 am to 1:30 pm.) Services are limited to picking up and dropping off campus and U.S. mail; identification is required to pick up mail. There are no mail processing services at this location.

Campus Mail Services will pick up and deliver interdepartmental mail and U.S. Postal Service mail daily to every building and most departments on campus. We also process outgoing mail and parcels destined for the U.S. Postal Service and UPS. Prepaid FedEx packages may also be placed in Campus Mail for pick-up.

Note: Campus Mail Services are to be used only for University business. Personal correspondence should not be addressed to your business address.

INTERDEPARTMENTAL MAIL
Addressing: Address interdepartmental mail with your recipient's name, department, room number, and a building name abbreviation. Do not put campus mail in a U.S. Postal Service mailbox. If the item arrives on campus at all, it may come with a postage due charge.

Change of Address: If your department is moving, please notify Central Mail as soon as possible when you learn of your new location. Tell us your old and new locations, telephone number, and date of relocation. If you are moving as an individual, please update your address through the Employee Self-Service website, at https://hris.uiowa.edu.

Enclosures: We handle correspondence and small items to be delivered to other locations on campus. Anything containing metal, glass, product samples, and chemicals may not be sent through Campus Mail.

Envelopes: Postcard-style, single-piece, nonconfidential correspondence may be sent without an envelope. Address the item and place it in your designated Campus Mail location.

Use a Campus Mail envelope for material with more than one page--magazines, reprints, newsletters, and letters, for example. This helps prevent small items from becoming trapped inside the pages of larger ones. When addressing Campus Mail envelopes, mark out the previous line and write your recipient's name and campus address on the next line. Do not use lines left blank between previous addresses. The standard, three-column Campus Mail envelopes are available from General Stores.

You may use plain white envelopes for interdepartmental mail, but print "CAMPUS MAIL" in the upper right corner so it is not mistaken for U.S. Mail. Confidential matter should be clearly marked "CONFIDENTIAL" on the envelope.

Mailing lists: It is your responsibility to prepare or obtain address lists for on-campus use. Be sure to record changes to keep your files up to date and sort the addresses into building order. Call Central Mail Services, 384-3802, for more information.

MAIL AND PARCELS FOR OFF-CAMPUS DELIVERY
Central Mail Services will pick up and meter mail and parcels you intend to send via the U.S. Postal Service or UPS. We provide a nine-digit mailing number and corresponding bar code, on a printed card, to each department; we scan the cards as we process mail and use the information for billing. When you send mail to us for processing, attach the card, using a rubber band or paper clip, to each bundle. Contact Mail Metering at 384-3804 if you need a new or replacement card.
