Notes:  Paperless Advising

Degree audit
Exceptions on line
On-line grading

We initial a form and hand it to them or e-mail them a configuration

Automatic sometimes is a way to keep the students at a distance

Petition - scanned or maybe it's e-mailed
Standardize the petition forms

Electronic notes - faculty advisor may say, "go see the central advisor," how to know what was said if there aren't shared notes?

Noes which are not shared can be indicated on the electronic system as "see note in paper file" - that controls access - so advisor still make notes which are not shared (not on the electronic system) and there are both paper and electronic files for a student.

Cut and paste e-mails into notes - use e-mail to answer their questions - this system does not reduce in person contacts

Use e-mail for all purposes - postal mail = protected by law, but e-mail safe?
OSU sends grades by e-mail
Purdue provost has said e-mail can't include any FERPA protected info
UM sends info from our address to their student e-mail address - we won't sent to hotmail, etc. - if they forward it to hotmail, etc., that their business.

Students coming to us as asking for things like a transcript do need to show an ID -

"Paperless" is "less paper"

E-mail addresses (or pictures) protected under FERPA? Many of us use and publish e-mail addresses all over the place, but an individual student could tell the U. to suppress

Alan - 3 levels of note security -
Private - that only the writer can read
Local - (one's office or maybe school)
Campus - Anyone within the system

Shadow options seem inevitable
Training process to have people read off the screen
Set up the screen

What is our goal?
Share the record
See it instantly

OFA paperless (MSU)-
Code the scanned images so that you can search instantly - In fact, have a paper and an electric file, scan in things for a short period, then throw them out.

Sensitive info should never be scanned

As Purdue twice they've lost transaction data - have to go beck to the last back up and start all over again

You can mimic someone else, e-mail signature line, so an e-mail looks to be from your when it isn't

How to verify

Iowa's web course catalog can be searched by "like courses" - like signing up for Native American would allow you go find all the Native American courses

Ssinfo.purdue.edu

On-line catalog has up-to-date, but where it's printed, every other year

It doesn't even work from the onset, then we teach them not to expect much.
