Annual Meetings

Notes:  Technology in the Advising Office

Ohio State University
  • Distance learning - application - all done in one feel swoop. No running around
  • Maximize use of web advising
  • Office of CIO and DARS programming - 2 tiered administration
  • Computing services does hire full time student help
  • Undergraduate program - web master faculty for classroom and has several students working for her
  • Data warehouse is mostly a snapshot and not useful
University of Indiana
  • Insight - students can get grades / grade what-ifs / syllabi and course descriptions
  • Transfer credit - Departments state how courses will transfer in. Some departments haven't negotiated transfer credit and are reluctant to put anything online.
  • Political clout to move or make decisions - coming from higher education system. A lot of people aren't happy about it.
  • PeopleSoft advisor screen / commit? We are very dependent on notes
  • Staff includes 1 tech, 1 server runner, and 1 data management Everyone updates the web to maintain
  • Focus - student data to just some data access depending on advisor
  • Registrar's office runs many reports, but they need lead time
University of Minnesota
  • Way behind in tech systems, but catching up.
  • Need to solve PeopleSoft module - go to DARS?
  • Portfolio project - students can put online for career building, much like DARS
  • Electronic scheduling system - students interact web for appointments Web based drop for 1st time
  • Major options available online
  • Unified web environment - web designer for all discreet platforms and put together
  • DARS has been customized so much it would take a great deal of money to change
  • Every running server has staff of 3 or 4 and web person
University of Wisconsin
  • PeopleSoft advising - skeletal audit system
  • PeopleSoft won't change. Very strong hold against concerns
  • Degree audit and assign of advising - this is a tool and not actual advising. This will difficult to use technology for advising interaction. Always going to be working on and fine tuning PeopleSoft.
  • Trying to get 2 full time individuals to run local network. Advisor does DARS full time.
University of Michigan
  • Cannot correct notes / purge notes on PeopleSoft
  • PeopleSoft advising module is audit
  • PeopleSoft will be key, but our own mock up systems will be essential to our use until PeopleSoft becomes more mature
  • We now have sharing access across campus and Central system
  • Administration thinks that our office can change with the same number of funds in the long run. But, doesn't account for the fact that we need more people to interface between students and staff and tools
  • Have developed an in-house software, in need of tech support.
  • We are in need of finding a staff member to work directly for us, not through the Dean's office, to help develop our programs
  • Find that PeopleSoft student data warehouse is almost too complicated to use
Penn State
  • Staffs tech person for every 35-40 people
  • Hire students to do graphics, but this makes it difficult to change when the student leaves
  • eLion - online advising - 2 staff
  • Building own office system - combining an interactive advising component and degree audits for student
  • If students can do everything online, this scrapes off the top level, but student still needs an advisor to answer questions brought on by technology
