Beginning on Monday, March 24, 2008, the PeopleSoft General Ledger will accept and store the University ID from systems that send this level of detail information to the General Ledger.  University ID will be sent instead of Social Security Number from some systems; in other cases, for the time period between March 24 and June 30, 2008, the Social Security Number will continue to be sent in addition to the University ID.  As of July 1, 2008, to comply with University policy, Social Security Number will not be sent to the General Ledger.

The printed University Wide Reports from General Ledger, the General Ledger Statement of Account (“SA3”) and Grant Transactional Detail Statement (“TDS”), will display the University ID field, beginning with the March reports. The Social Security Number field was removed beginning with the November reports.

On-line reporting and transaction-based applications related to the General Ledger will begin using University ID as updates to each application are completed.  Notification will be sent as these updates occur.  Affected applications are GLDSS, Grant DSS, Cum Comp DSS, GL Journal Entry, Web CV, Pay CV, and Financial Systems Tools.

A small percentage of people on this distribution list directly access GLDSS tables in the data warehouse.  The affected tables, GL_GL_DTL_DAILY and GL_GL_DTL, will have the University ID field added on March 24, 2008.  If you want to have access to the University ID field and depending on the query tool you use, you may need to re-link to these tables.  Those who query using MS Access will need to re-link to the tables to have access to the University ID field.
