Mass e-mail policy

To support its new policy on mass e-mail for faculty, staff, and students, the University now has a new ITS service for large volume e-mail distributed through the University system.

The new policy, which applies to both on-campus and off-campus senders of e-mail to more than 1,000 recipients, requires senders to obtain administrative approval based on both the author and the intended audience.

The purpose of the policy is to reduce unwanted e-mail while allowing instructional and administrative e-mail to proceed as usual. A University web site, www.its.uiowa.edu/its/cs/email/massmail/, contains the policy and supporting information. E-mail may not be the best choice for all communication, and potential senders may wish to consider alternative methods, such as those offered at www.its.uiowa.edu/its/cs/email/massmail/methods.htm.

The new service allows anyone on or off campus to request a mass e-mail, which will be processed in a manner that allows each recipient to filter unwanted messages. The use of filters, however, won’t always prevent receipt of unsolicited e-mail sent from outside the University. Public records laws still may require the University to provide e-mail address data to outside entities, but everyone’s use of the campus e-mail system is subject to this policy.

Faculty and staff may set e-mail filters within their personal e-mail client software, which may reduce the amount of unwanted mail received. These options vary with the software. Samples and suggestions for Eudora, Netscape, and Outlook are available at www.its.uiowa.edu/its/cs/email/filter.html. These filters often require careful configuration and may need to be adjusted periodically. The guidelines and categories may help users set desired filters.
