Document Services to begin processing copyright requests
for faculty course packs this summer
On July 1, Document Services will become the clearinghouse for requests to reproduce copyrighted material in course packs. We will be your liaison with publishers: making payments, submitting reorders, and maintaining records. The IMU Book Store now performs this service. Guidelines established by the Book Store for copyright clearance will remain the same.
We need accurate bibliographic citations as well as the articles themselves to request permission from a copyright holder to reproduce book excerpts or journal articles. We also need the material well before the beginning of classes because we cannot control publishers' response times. Past experience demonstrates it can take anywhere from one hour to two months.
Most publishers will not allow excessive portions (i.e., more than 10%) of books currently in print to be copied, even for educational purposes. In addition, all publishers and copyright holders expect their works to be accurately cited, usually on the first page of the article. We will add statements such as "reprinted by permission" or any additional information specified by the copyright holder. The original citation should already be included with the material when we receive it from you.
Copyright permission is only granted for works copied as they originally appeared. You may retype articles to be copied, but please include the citation of the original articles so we can accurately and efficiently petition the copyright holders. Permissions to copy are granted for one-time use only. A request must be submitted each time the material is to be used.
We are hiring and training staff and working on finding a location for the service; we hope to keep it in the vicinity of the IMU. The IMU Document Center will have more information as it becomes available. Contact Document Services manager Marge Kline with questions.
Plan, place orders soon for fy '03 billing
The fiscal-year end may seem to be far in the future, but it is time to plan orders to be billed to your 2003 budget. Please be aware of the following departments' deadlines:
Central Mail
All mail processed by 2:30 p.m. Monday, June 30, will be charged in fy '03. Please send items to Central Mail as early in the day as possible.
Document Services
Document Services' completed work performed as of 11:59 p.m. June 30 will be billed in fiscal '03. Any work performed after that time will be billed in fiscal '04.
General Stores
General Stores will include any order in the current fiscal year if it is entered directly by
a department or by General Stores on either MIGS or SIGS by 3 p.m. on Monday, June 30. All other orders must be submitted by Friday, June 13.
Office copiers
If you wish to purchase a copier in fiscal 2003, obtain a Copier Feature Request sheet, on the Web or from Margie Yoder, 384-3720, and Diane Bird, 384-3702. Complete it and fax or mail it to us (384-3727, 130 MBSB). We will help you arrange for test copiers. After you decide which one you want, send your requisition to the Printing Department by noon Monday, June 23. We'll process it and send it to Purchasing. Specify that you want the funds encumbered for fy '03.
Printing
For printing orders, work performed as of 4 p.m. on June 30 will be charged in fy '03. The balance of charges for jobs in progress will be made when they are completed and closed. Plan now for orders that you want charged in fy '03. State printing orders that we receive by 4 p.m. June 30 will be billed in fy '03. The charges will be based on the estimated invoice from the vendor.
Using PReqs? Keep us in the loop
When using PReqs, (the new, online requisition system used for ordering from non-University vendors), be sure to keep us in the loop when it comes to office copier transactions. "With the implementation of PReqs in Purchasing there is a need for departments to ad hoc Margie Yoder, Diane Bird, and Gary Anderson on requisitions for the rental, lease, purchase, or maintenance of a copier," says Printing Department accountant Carol Iles.
"Requisitions for printing must be done the old-fashioned way - paper," she says. This is also true for Central Mail, Document Services, and General Stores. They still need whatever form you currently use: blue reqs and freight codes for Mail; blue reqs and m-numbers at Document Centers; and MIGS, SIGS, and GS requisitions for General Stores.

CENTRAL MAIL SERVICES
USPS begins enforcing Move Update rules:
Endorsements required to keep postage discounts
It may seem like harping but it's important - you must follow the rules, especially now that the USPS has begun to enforce them. Since 1997, when the Postal Service implemented its plan to require updated addresses on mailings (called Move Update), Into Print has published at least sixteen articles to help you understand USPS rules and the reasons for them. Here's another reminder:
The Postal Service wants the addresses on your mailings to be current and correct. If they are not, you could lose your postage discounts, which could amount to thousands of dollars a year for the University. "The Post Office is looking to hold mailers accountable for their address lists," says Central Mail manager Chris Kula. "They need to make a concerted effort to update their files and use good addresses."
While it implemented Move Update six years ago, the USPS plans to start enforcing it this summer. The key to compliance is having and using a process to update the addresses you use on First-Class mail. Any mail that is undeliverable as addressed must be returned to the sender or sent to a mail recovery center. Presently this costs the Postal Service about $1.5 billion a year, so reducing undeliverable mail will save the USPS money.
The Move Update rules require that mailers who claim automation or presort rates for First-Class mail must update addresses within 180 days prior to the mailing date. One of the following methods must be used unless the mailer has written approval from the Postal Service to use a different one: Approved Ancillary Service Endorsements; Address Change Service; National Change of Address; and FASTforward.

Online shipping system up and running again
If you've had problems recently with our online system for shipping via UPS, please try again. The system crashed but is now functioning again. "We are getting back up to speed with it, monitoring it daily to make sure it's working, and hope to have all problems resolved in the near future," says Chris Kula, Central Mail manager. "We apologize for any inconvenience."
New DDDEO listserv software brings change for senders
The Deans, Directors, and Departmental Executive Officers' (DDDEO) listserv has been converted to a new software. If you send messages to the listserv, keep in mind that Central Mail no longer edits and formats the message - you'll need to do it yourself. The procedure for sending messages remains the same.

E-mail the message to dddeo-memo@list.uiowa.edu. It will be forwarded to the subscribers after it has been approved. Please do not send attachments with the message; it's better to post the information on the Web and send the url in the message. You must use the following format:

Fold mail pieces to qualify for letter rate
Postal rates for mailing flats (items that are 8.5x11 inches and larger) are higher than those for letter-size items. "Any time you can take an 8.5x11 flat, fold it in half* and have us tab it, it qualifies the piece for a lower postage rate, which saves you money. If you have questions, call us. I always like to have people ask us questions," says Central Mail manager Chris Kula. "I hate charging them more than is necessary. I really do."

Got mailing questions? We deliver answers
Outreach is important at Central Mail, so manager Chris Kula will make campus visits on request. "I'm more than willing to go out to departments and discuss addressing and any other mailing issues," he says. He has plenty of practice: because Central Mail is in partnership with UNI's mail service, he travels to Cedar Falls at least monthly to meet with individuals and departments, and he holds a quarterly meeting there for all departments that are affected by mail. LAUNDRY SERVICE
Character Counts: Meet Monica Fuhrmeister
Monica Fuhrmeister, Laundry Service supervisor, oversees the daily operation of processing rental uniforms. Fleet-footed, she is everywhere. Monica moves rapidly - from dock to washers and dryers, to check-in and checkout, to mending, and occasionally to her office. Adept at multi-tasking, she constantly monitors the work flow to ensure uninterrupted service to the customer.
"My job is no more challenging than anyone else's in these difficult times. . . to do as much, if not more, with less, whether the challenge is financial, staffing, or space," says Monica, a supervisor for more than twelve years. "The most rewarding aspect is the appreciation shown by our customers, their thank you," she adds.
Originally from Riverside, Iowa, Monica now lives in Iowa City. She and her husband of twenty-four years, Gary, are the parents of Lori and Lisa and the grandparents of Kylie, Emily, Tanner, and McKenna. A doting grandma, Monica spends many hours helping her grandchildren make cookies and craft items. She proudly displays a wall hanging that all four grandchildren made. Last Christmas Monica helped Kylie and Emily cut, sew, and tie their own lap quilts from denim jeans.
An avid seamstress, she made memory quilts for each of her five sisters from scraps she found in her mother's fabric cache. Monica has sewn many garments and quilts, but she says one of her most memorable projects was a four-foot tall, fully clothed, stuffed moose - yes, a moose! - which now rides around Iowa City in the backseat of her father-in-law's car.
Monica and Gary are longtime NASCAR fans and root for Ward Burton in the "Cat" car whenever he races. They even went to the prestigious Brickyard race, at the Indianapolis Motor Speedway, in 2001 to cheer on their favorite driver.
While family and hobbies mean a lot to Monica, pets are important, too. Princess Chelsea Bea, a five-pound Yorkshire terrier, is the apple of her momma's eye. Chelsea is not an only pet however. Cockatiels R.T. and Bobbie, as well as Barney the beta fish, also keep her company.
When asked what she has in mind for the future, Monica says, "I have no big plans. Just maintaining and taking one day at a time."

Equipment Rental: What's new, what's hot, what's not
The inventory at Equipment Rental fluctuates continually, with items coming in, going out, and being added and replaced every day. Several new items are available; a few older ones are not. We are always willing to look into stocking any equipment you ask about.
Our recent acquisitions include new Powerbook G4s - a 17-inch model at $160 per month and a 12-inch at $90 per month, and new Dell 8500 laptops with wireless cards at $150 per month. We also stock smaller, lightweight Sony and Toshiba laptops weighing about three pounds each.
We have two models of Dell's small form factor desktop pc, which are about the size of a laptop but have the power of a desktop tower model. The cost to rent one of these is $50 or $70 per month, depending on its speed and RAM.
Proxima LCD projectors to use with a computer or VCR system are another new acquisition. "They're 2,500 lumens, more than twice as bright as anything we've stocked until now," says Equipment Rental manager Gerry Miller. There is also new phone conferencing equipment, which rents for $5 per day.
Equipment Rental's Web pages list other items we have in stock. If you find something that interests you, call us to find out if it is available. "Some items may be out on rental, some may be on the way back in, some may be ordered on request, some may be no longer available but we can order a similar item," says Miller.
Everything is available for short- and long-term rentals, with a two-day minimum. Order with UI requisitions; they are the only currency we accept.
We are located at the south end of the Mossman Business Services Building on Old Hwy. 218 S. Don't try to find us by looking for Miller's car, though. He's replaced it with a new one. It's not the old Wrangler, but it is a Jeep. It's the same color - black, and has the same plates - OLDGOLD, acknowledging his participation in Old Gold Singers in the days of yore.

New rates announced for '04 parking permits
Current parking permits will expire on August 3, 2003. Renewal parking applications will be sent out in May to all current permit holders. Departments with departmental business placards will also be sent their annual renewal applications in May. Planning to rent from Motor Pool this summer? Send orders in soon
Motor Pool is approaching its busy time of the year for rental vehicles. Reservations should be made at least two weeks in advance because some classes of vehicles (mainly sedans and minivans) are already at 90 percent reserved capacity. If Motor Pool is out of the kind of vehicle you have requested, you may be asked to switch to a different class of vehicle. If your trip is canceled, you may cancel your reservation within four hours of your scheduled pick-up time and not be charged.

Commuter Programs promotes alternative transportation
for University employees
Many employees and students come to campus other than in a single-occupant vehicle. Parking and Transportation encourages the use of alternative transportation to help reduce parking demand, traffic congestion, and pollution. PRINTING DEPARTMENT
Variety of items using new UI identity available
The University's new identity system gives us an opportunity to make available new products to our customers. Document Services and Printing offer different selections.
The Document Centers stock several items that are preprinted with the dome logo and wordmark and have space for customers to add their own departmental information. Items include binders, report covers with a reusable binding, note cards, envelopes, and trifold brochures.
One style of brochure and the report covers are printed in gold and black. The other items are printed in black ink only, with the note cards also displaying a gold embossed dome. The Document Centers will print additional information on the items for you, or you may print your own material.
The brochures are sold in packages of 100, the note cards and envelopes in packages of 25, and the binders and covers singly. They are available at the Boyd Law, IMU, Mossman, Med Labs, and PBB Document Centers.
Items that may be ordered from Printing include business cards, letterhead, electronic letterhead, memos, envelopes, and mailing labels. A variety of styles and configurations are available for
these products. Go to the University's graphic identity website for a description of the various options.
When it's time for a copier upgrade, we can help
If your department plans to replace office copiers or printers, you might find the best solution at Document Services: Consider a high-speed, digital printer maintained and managed by Document Services.
"We may be able to provide something more than what you could do on your own," says Marge Kline, Document Services manager. She's replaced outdated machines at the Tippie College of Business with new, 600-dpi digital printers that are connected to users' work stations. One of the printers is used solely by faculty and staff and is available twenty-four hours a day, seven days a week.
"Professors print directly from their desktop and then go pick up the completed work. For confidential material, they often send files to a queue, go to the printer, and then hit the print button," says Kline. Advantages include convenience, improved print quality, and installation, training, and tech support by Document Services (which also handles machine purchases, printer supplies, toner, paper, and service calls). Contact Kline at 384-3717 if you are interested in establishing such a program for your college or department.
Course packs - time to get going
It's time to send materials for summer session course packs to Document Services for copying, if you haven't already done so. Classes begin May 19 and June 9. You'll need copyright clearance if you use material from published sources, and the process can take extra time.
Producing course packs is easier than ever when you work with Document Services. You may place orders and send files electronically to our website. We can scan hard copy and merge it with electronic files, burn supplementary CDs, and digitally archive, print, and bind the document - all on line. Should you choose to include a paper copy of your website in your course materials, we'll print those pages, too.
Our course packs are more convenient and much less costly for students, at four cents per copy, than downloading and printing the information themselves (ten to twenty cents per page, when all costs are considered) or buying packets from a commercial copy shop (five to fifteen cents per copy).
Sending files electronically is simple; we'll teach you how at no extra charge.

Color, Color, Color
UI Printing Department has upgraded its high-volume color copier. The addition of the CLC 3900 has allowed us to better ensure color consistency while maintaining our reasonable pricing.
While the Color Center's specialty is quick-turnaround production of high-quality work, the Printing Department helps clients find solutions that will be the most cost-effective and timely. So whether your color file is directed to the Color Center at the main print shop or to the IMU Document Center, your work will be produced to best suit your needs and your budget.
Color copies can be produced from a digital file or from hard copy. Whether you choose to take advantage of our website to submit your file or have our courier pick up a disk or hard copy, we continue our 24-hour turnaround on paper sizes up to 12"x18".
For color work above the 12"x18" size, the Color Center also has a wide media full-color display printer. The output is a high-quality product suitable for posters, presentations, and showcase displays.
