Minutes of the UISC Executive Officers' Meeting, Wednesday, 11/2/2005 in 341 IMU
(to be read at the 12/7/05 Exec. Meeting for corrections, additions, and adoption)
Commodore Lindsey Schneider called the meeting to order at 1704 hours. 17 persons attending: 9 Exec Officers (Lindsey, John, Eric, Rich, Lauren, Erin, ,Warren, Heather, and Dave), and 8 Club members.
Minutes from the previous Exec Mtg. were previously read and adopted on 10/12/05.
A. Officers' Reports:
1. Secretary, John Huntley:
a. Meeting yesterday (11/2) with Harry Ostrander, Wayne Fett, and Dennis Miller (Business Manager of Rec Services) went very well: Rec Services will provide the non-profit mailing permit for sending out the SuperScuttlebutt (and the Club will then reimburse them for the Requisition they write to the UI Mailing Service).
The UISC, in their eyes, is now conducting its business responsibly and well; both Ostrander and Fett seems to be pleased with the way things are going. They also report that Gwen Prentice, Park Ranger of Macbride State Park, shares these views.
b. The Secretary has begun an update and revision of Ship's Customs which will detail what actual officers of the Club really find themselves doing through the year to keep the club moving and alive. This will serve to record, preserve, and pass on accumulated experience but also let each year's group of leaders adapt past experience to present circumstances. The Secretary distributed early drafts of the document to each officer present.
2. Vice Commodore, Erin:
a. We discover that we still owe approximately $400 for the club burgees ordered for the 40th Reunion.
b. Remaining burgees will fill a few double orders that remain, then be stored at the boathouse for future sale to Club members.
3. Fleet Captain, Rich:
a. Two Seitech dollies will soon be delivered and brought out to the boathouse.
4. Commodore, Lindsey:
a. The Nominating Committee asks all members to send in names of persons they'd like to see hold office in the Club next year. Two nominating meetings are scheduled for 11/9 and 11/16; elections are scheduled for 11/30.
b. Two pending motions will be brought to the floor at the next Members' Meeting, 11/9: second vote to purchase the tug; consideration of the motion to buy 2 radial Laser sails.
5. Team Co-Captain, Lauren:
From last Saturday's Sail-Off, 4 UISC sailors will represent the club in Madison at the Area West Regatta: Laurent, Lindsey, Matais, and Casey.
B. New business
1. Mark Gleaves proposes a photo contest and circulated a draft motion outlining the project; he will put up $50 for first prize; Huntley will match that amount. Benefits expected: publicity, new members, good photos that show off the Club and its facilities. Costs: some publicity expenses, some work in reviewing entries. A formal motion will be pt forward next week to the membership proposing such a venture.
Discussion sparked many suggestions: send further e-mail to Mark Gleaves at mgleaves@quidrides.com
2. Commodore Lindsey moved the meeting to a Committee of the Whole in order to discuss Club goals for the coming year. Dave Steinman recorded suggestions on the white board, among them:
a. More visibility for the Club, especially among students. Better, more frequent and consistent publicity for the Club. Homecoming parade float? Boats on campus.
b. More social activities-parties, celebrations.
c. Volunteers recruited more systematically. Phone tree leaders? Incentives?
d. Boat house staffing, esp. on weekends.
e. Membership goals-perhaps 200, half and half student and public
f. Keep the Club in motion; keep things moving.
g. How to gauge success of the teaching program? Maybe count the number of new ratings earned each semester.
h. Sell more of the boats that see infrequent use. New IRS rules for donations; perhaps a broker's commission on selling boats for the Club. Concentrate on the fleets most frequently used: FJs, Lasers, with some Hobies and MCs for variety's sake.
i. Add, as a post-meeting feature during the winter, some teaching sessions for Club members: knots, seamanship, racing tactics, racing rules, boat handling. This in addition to the Cruising Course.
j. More “Info Meetings” for new, prospective members
k. A data base of all Club members reaching back as far as we can-one record per person (as opposed to the Spread Sheets with the same names appearing for several seasons, then dropping off. JH has slowly and tentatively begun this project.)
l. Somebody in charge of Club gear: t-shirts, patches, life jackets, burgees, etc.; maybe a day in the future when all members wear an UISC t-shirt on campus.
PLEASE, ALL MEMBERS, SEND ADDITIONAL SUGGESTIONS BY E-MAIL TO STEINMAN OR HUNTLEY. WE WANT AS FULL AND CREATIVE A LIST AS POSSIBLE.
C. Announcements, etc.
From Ben, by show of hands: how's interested in zip up fleece jackets with Club emblem on back?
From Heather: whatever happened to the purchase of on-sale life jackets for sale to club members?
Albatross nominations:
a. To Team all members who did not show and did not compete last Saturday in the Race-Off to represent UISC at the Area West regatta.
b. To Eric O., as Rocky Horrow Show Guru of Iowa City.
c. To Eric O., for leaping into cold water for a swim.
d. To Dan Roggie for high-speed catamaran sailing last Saturday that nearly over ran an FJ.
By applause-o-meter vote, the award goes to Dan Roggie.
Respectfully submitted, John Huntley, secretary.
